Terms and Conditions of Hire

1. Application

These conditions apply to all bookings, whether made verbally or in writing. The hirer acts on behalf of all passengers travelling. If the hirer represents a company, group, or organisation, a designated individual must be identified as the responsible party.

The hirer is accountable for all actions and decisions of passengers, including additional costs incurred, regardless of whether the hirer travels with the group. ICoaches Ltd („the Company”) will only accept instructions from the hirer or their designated representative.

If the hirer will not be travelling, they must appoint a representative and inform the Company in advance.

2. Quotations and Routes

Quotations are based on the information provided by the hirer. The Company determines the route unless a specific route is requested by the hirer and confirmed in writing.

Use of the vehicle between the outward and return journeys, or for extended use at the destination, must be agreed upon in advance.

3. Additional Charges and Timing

The Company reserves the right to charge for additional mileage or time not included in the original agreement.

Departure times must be adhered to, and it is the hirer’s responsibility to ensure all passengers are accounted for. The Company is not liable for losses incurred by passengers failing to comply with the hirer’s instructions.

4. Driver Regulations and Capacity

Driver hours are regulated by law. Delays or interruptions caused by the hirer or passengers that breach these regulations will result in additional costs, for which the hirer is responsible.

Vehicles must not exceed their specified seating capacity, which will be confirmed at the time of booking.

5. Animals and Special Requests

Animals are not permitted on vehicles, except for guide dogs, which must be notified to the Company in advance and approved in writing.

6. Booking Confirmation and Payment

Written confirmation from the Company constitutes acceptance of the booking and any subsequent alterations.

Full payment is required before the hire begins unless otherwise agreed or if a credit facility exists.

7. Cancellation Policy

Cancellation charges are as follows:

  • More than 7 days before the hire date: No charge.
  • Between 7 days and 48 hours: 50% of the hire charge.
  • Within 48 hours: Full charge, no refund.

8. Force Majeure

The Company reserves the right to cancel bookings due to circumstances beyond its control (e.g., civil unrest, strikes, road closures, adverse weather). In such cases, liability is limited to a full refund of monies paid.

9. Vehicle Substitution and Facilities

The Company may provide a larger vehicle or substitute vehicles and facilities, including those from other operators, ensuring equivalent value. No additional charges apply unless specifically agreed.

While the Company endeavours to maintain all onboard facilities (e.g., fridge, DVD, PA system), liability for breakdowns is limited to £20 per facility.

10. Journey Times and Delays

The Company provides journey time estimates in good faith but accepts no liability for delays due to unforeseen events (e.g., breakdowns, traffic).

11. Additional Services and Package Tours

Terms and conditions from third-party suppliers arranged by the Company will bind the hirer.

If the hirer organises additional package elements, they may be subject to Package Tour Regulations.

12. Luggage and Personal Property

Luggage capacity is subject to safety restrictions. Drivers have sole discretion over what can be carried. Notification of large or unusual items must be given in advance.

The Company accepts no liability for loss or damage to personal property unless exceptional value items are declared in advance.

13. Passenger Behaviour and Safety

Drivers are responsible for vehicle safety and may remove passengers whose behaviour endangers safety.

The hirer is liable for any damage caused to the vehicle by passengers. Restrictions, including alcohol consumption, apply to certain events (e.g., sporting events). Details are available on request.

14. Complaints Procedure

Complaints should be raised promptly with the driver or the Company. If unresolved, written complaints must be submitted to the General Manager within 14 days of the hire.

15. Restrictions on Notices and Food/Drink

Bills, posters, or notices cannot be displayed on vehicles without prior written consent.

Food and drink (except confectionery) are prohibited unless the vehicle is expressly designed for this purpose or written consent is obtained.

16. Liability and Refunds

The Company’s liability for failure to provide the booked service is limited to a refund of the hire fee paid.

17. Data Protection

The Company processes personal data only as required for the agreement’s duration and related services. Personal data is securely stored for three years and accessed only by authorised personnel. Contact the Company to request data removal or report a suspected breach.
